A barbershop booking system has to do three things well: schedule short services back to back, give every barber their own calendar with their own clients, and lock in regulars for the coming months in one go. On top of that you want a link that fits in your Instagram bio and automatic reminders against no-shows. Lookster does all of that for €19.95 a month after three free months. Below: the checklist, the types of systems and how to set one up.
Why is a barbershop different from a hair salon?
A barbershop runs on volume. A fade takes 30 minutes, a beard trim 15 to 20, a combo 45. On a busy Saturday one barber sees fifteen to twenty clients. A hair salon plans long appointments of ninety minutes with colour and processing time. Those two worlds ask different things of a calendar.
What you see in a barbershop, and what a booking system therefore needs to absorb:
- Short slots. Your calendar needs to work in 15 minute blocks, otherwise you lose a client a day to dead space between appointments.
- Walk-ins next to appointments. Part of your clientele just walks in. The system has to allow that without your online calendar falling apart.
- Several barbers, each with their own clients. Clients book with "their" barber. They want to see Mo's calendar, not the first free chair.
- Regulars. A large share comes back every two to four weeks. You do not want them to book from scratch each time.
- Evenings and Saturdays. Your peak is outside office hours. That calls for an evening rate and protection against last-minute bookings.
- Instagram and TikTok as the main channel. New clients find you through a reel, not through Google. Your booking link has to be in your bio.
- Reviews. A barbershop lives on word of mouth. Reviews from real clients speed that up.
What should a barbershop booking system be able to do?
Use this table as a checklist when you compare systems. The right-hand column shows how Lookster handles each point.
| Feature | Why it matters in a barbershop | In Lookster |
|---|---|---|
| Online booking via your own link, 24/7 | Clients book in the evening from your bio, no DMs | Yes, own booking link plus salon page and client app |
| Calendar in 15 minute blocks | Fade, beard and combo fit tightly together | Yes, duration per service and per barber |
| Own calendar and login per barber | Every barber manages their own day and clients | Yes, staff panel with its own permissions |
| Client picks the barber | Regulars want their own barber | Yes, the client picks a team member and only sees real free slots |
| Several services in one booking | Fade plus beard in one go | Yes, plus add-ons the client picks themselves |
| Recurring appointments | Same time every 3 weeks without rebooking | Yes, with exceptions per date |
| Quick walk-in scheduling | Handle walk-ins next to appointments | Yes, you add a walk-in to the calendar in a few taps |
| Evening rate | Higher price after a set time | Yes |
| Minimum booking notice | Stops bookings five minutes ahead | Yes |
| Confirmation and reminder | Fewer no-shows | Yes, free by email (24 hours ahead) and push, with no SMS costs |
| No-show marking and blacklist | Keep repeat offenders out | Yes |
| Reviews from real clients | Convince new clients | Yes, verified reviews: only clients who actually visited |
| Insight per barber | Revenue, occupancy and no-shows per chair | Yes, per period and per team member, export to Excel/CSV |
| Apps | Calendar on your phone behind the chair | iPhone/iPad, Android, Windows and browser |
| Marketplace and client app | New clients at no extra cost | Yes, Lookster's own marketplace at 0% commission |
If a system has no calendar per barber or no recurring appointments, cross it off. Those are the two features that make a daily difference in a barbershop.
How do you combine walk-ins with online appointments?
Block a fixed part of the day for walk-ins and make the rest bookable online. Many barbershops keep the morning or the first hour after opening free for walk-ins and let the afternoon and evening fill up online. Clients know where they stand, and the calendar stays fair for those who did book.
When someone walks in while there is a gap in the calendar, you schedule them on the spot. In Lookster you add a walk-in to the calendar in a few taps: tap the time, type a name or pick an existing client, select the service. Because the calendar updates in real time, a client looking online at that moment sees the slot as taken.
That way you run one calendar for everything, and every walk-in counts towards your revenue and occupancy per team member.
Several barbers with their own calendar and clients
Every barber gets their own login, calendar and working hours. That is the baseline. A client who books with Mo sees only Mo's free slots, and Mo sees only his own day in the app. Renting out chairs? Then you set per team member what they can see: only their own calendar, or client data and revenue as well.
Three things to check when comparing:
- Price and duration per barber. A senior barber may charge more for the same fade, or do it in 25 minutes instead of 35. The system needs to allow that per team member.
- Working hours and breaks per barber. One works Tuesday to Saturday, another only evenings. Schedule exceptions and holidays belong here too.
- Insight per chair. Revenue, occupancy and no-shows per barber show who is busy and who has room for new clients.
Lookster includes three team members (owner plus two) in the base price and charges €5 per month for each extra barber. Always compare the monthly total for your number of chairs, not the entry price.
Regulars every 2 to 4 weeks: recurring appointments
Your best clients come every three weeks, same day, same time. Let them lock in that series once instead of booking again each time. A recurring appointment reserves the next slots automatically and sends a confirmation and reminder for each individual visit.
In Lookster you create a recurring appointment with an interval (every 3 weeks on Thursday at 18:30, for example) and you can add an exception per date, for when the client is on holiday or you are closed for a day. The series carries on afterwards. That way a large part of your week is already booked before it starts.
Evenings and Saturdays: evening rate and minimum booking notice
Your busiest hours are the hours when everyone else is off. Two settings in Lookster help you keep control.
Evening rate. Set a surcharge for appointments after, say, 18:00. Clients who prefer the cheaper price shift to the afternoon, and the evening stays worthwhile for your barbers.
Minimum booking notice. Decide how far ahead a client can book online, for example at least two hours. That stops someone grabbing the 18:00 slot at 17:55 while you have just put a walk-in in the chair. The right notice depends on your shop: the more walk-ins, the longer you set it.
No-shows in the barbershop
With a 30 minute service a single no-show feels small, but three on a Saturday cost you ninety minutes and the revenue of three fades. Lookster helps on four fronts:
- Confirmation and reminder. Lookster sends a confirmation right after booking and a reminder by email 24 hours ahead, plus a push notification that lands straight on the phone of clients with the Lookster app. All free, with no SMS costs.
- Easy rescheduling and cancelling. A client who can reschedule with one tap does not quietly leave your chair empty.
- No-show marking. Mark on the client card who did not turn up. After two times you see it immediately at the next booking.
- Blacklist. Repeat offenders can be blocked from online booking.
Lookster shows how many no-shows you have per period and per barber. For the full step-by-step, including what you are legally allowed to charge, read How to prevent no-shows in your salon.
Instagram and TikTok: put your booking link in your bio
For most barbershops Instagram is the main channel, with TikTok second. A reel of a skin fade brings in new clients, but only if that client can pick a time within ten seconds. A DM asking "got any space tomorrow?" is the moment you lose a client to a shop that does have a link.
How it works:
- Open Instagram, go to your profile and tap Edit profile.
- Paste your Lookster booking link into the Website field.
- Put the same link in your TikTok bio, on your Google Business Profile (the "Book" button or website field) and in your WhatsApp Business profile.
- Point to "link in bio" in every post and story.
The link in your bio works straight away, for every salon, and it is what clients tap in practice. Your Lookster salon page can also be found through Google, and clients with the Lookster app find you there as well.
Collect reviews that are real
A new client arriving via TikTok looks at your reviews first. So ask for them systematically. Lookster sends a review request by email and push after every appointment, and only clients who actually visited can leave one. Those verified reviews sit on your salon page next to your portfolio of photos. Share your Google review link alongside it, in your bio or in a story.
What types of booking systems are there for barbers?
Broadly you choose between three types. Lookster combines the first two: salon software with your own booking link and its own marketplace with a client app, at 0% commission on every booking.
| Type | Example | What it means for your barbershop |
|---|---|---|
| Salon software with its own marketplace | Lookster | Own booking link and client base, calendar and login per barber, recurring appointments, evening rate, plus listed on the Lookster marketplace and in the client app at 0% commission |
| Marketplace app | Booksy | No Dutch business pricing page; on the German price list €35 per month plus €7 per extra team member, and a 7 day free trial |
| Standalone appointment scheduler | Generic calendar tools | Lacks a client card, recurring appointments and per-barber settings |
What does Booksy cost compared with Lookster for your team?
Booksy publishes no Dutch business pricing page. On its German pricing page Booksy charges €35 per month plus €7 per extra team member, and you can try it free for 7 days (checked on 27 October 2026). Lookster gives you 3 months free and charges €5 per extra barber. Per month, excluding VAT (btw), that looks like this:
| Number of barbers | Lookster Essentials | Booksy (German price list) |
|---|---|---|
| 1 | €19.95 | €35 |
| 3 | €19.95 | €49 |
| 5 | €29.95 | €63 |
| Free trial | 3 months | 7 days |
With five barbers Lookster saves you more than €33 a month, close to €400 a year. Current prices for all providers are in How much does salon software cost?, and a direct comparison in Lookster vs Booksy.

How do you set up a barbershop booking system in Lookster?
Plan for one evening. These are the steps:
- Create an account at /en/business/register. The first three months are free, no credit card needed.
- Add your services with duration and price: fade (30 min), beard trim (15 min), fade plus beard (45 min), kids (20 min). Add add-ons such as a hot towel shave or eyebrows that clients tick themselves.
- Add your barbers. Each barber gets their own login and calendar. Set working hours, breaks and, if needed, their own price or duration per service.
- Set your opening hours, evening rate and minimum booking notice.
- Enter your regulars. Create a recurring appointment for your most loyal clients for the coming months right away.
- Copy your booking link to your Instagram bio, TikTok bio, Google Business Profile and WhatsApp.
- Install the Dashboard app on your phone (iPhone or Android) or on the Windows PC at the front desk. Every new or cancelled booking arrives as a push notification.
You can run Lookster alongside your current system or paper diary until you are sure.
Barbers who use it every day put it best. Lodien Yusuf of Lodiensbarbershop: "I am very happy with the collaboration with Lookster. Good service and an excellently working system, which gives me much more time for my clients." (translated) And Gabriel of Aiyo the Barber: "Great service. The dashboard is very clear and easy to use. It takes a lot of the work around planning and administration off my hands, so I can focus on my core work." (translated)

Frequently asked questions
What is the best booking system for a barbershop?
Choose a system with its own calendar per barber, recurring appointments for regulars and reminders without SMS costs. Lookster does that: every barber gets their own calendar and login, regulars go into a recurring appointment, and you set an evening rate and a minimum booking notice. Your booking link goes in your Instagram or TikTok bio. Reminders go out free by email and push, with no SMS costs, and your shop is listed on the Lookster marketplace at 0% commission. The first three months are free.
Can I combine walk-ins with online appointments?
Yes. Most barbershops keep a fixed split: part of the day is bookable online, part stays open for walk-ins. In Lookster you add a walk-in to the calendar in a few taps: tap the time, pick the client, select the service. Because the calendar updates in real time, a client looking online at that moment sees the slot as taken straight away, and your free slots stay accurate for everyone.
How do I put a booking link in my Instagram bio?
Open Instagram, go to your profile, tap Edit profile and paste your booking link into the Website field. Anyone who opens your bio can then pick a time without sending you a DM. Use the same link in your TikTok bio, your Google Business Profile and your WhatsApp Business profile. With Lookster every salon gets its own booking link, ready to paste, plus a salon page that can also be found through Google.
How much does a booking system for a barber cost?
Lookster Essentials costs €19.95 per month excluding VAT for three team members, €5 per extra team member, with the first three months free and 0% commission. Booksy has no Dutch pricing page and, on its German price list, charges €35 per month plus €7 per extra team member, with a 7 day free trial. With five barbers you pay €29.95 per month at Lookster and €63 at Booksy. Always compare the total per year.
How do I reduce no-shows in my barbershop?
Send an automatic confirmation and reminder, make rescheduling and cancelling via the link easy, set a minimum booking notice and publish a clear no-show policy that clients see before they book. Mark no-shows on the client card and put repeat offenders on a blacklist. Lookster sends a free email 24 hours ahead plus a push notification, with no SMS costs, and shows no-shows per period and per barber.
