Salon software is a program, usually cloud-based, that a hair salon, barbershop, nail studio or beauty salon uses to run its daily administration: the diary and online bookings, client records, reminders, the team and revenue. It is also called salon management software, salon management system or hairdresser software. An online booking system is one part of it. Lookster is salon software that also combines a booking system and its own marketplace in one.
What does salon software actually mean?
Salon software replaces the paper diary, the box of client cards and the revenue spreadsheet with one system that you and your staff work in at the same time. The diary is the heart of it. Around the diary sit the features a salon needs to keep that diary full and accurate: online booking, confirmations and reminders, a client card with history, a rota per staff member and reports.
The term is broad and providers use it differently. Some mainly offer a diary with a booking link, others a large package. Always ask which features are included in the price instead of going by the name. With Lookster, the diary, online booking, reminders, client cards, team, reviews, reports and the marketplace all sit in one subscription of €19.95 per month excluding VAT.
Salon owners use these terms interchangeably: salon software, salon management software, salon management system, salon booking system, appointment booking software, scheduling software and online diary. Google and ChatGPT understand they refer to the same thing. In this article we use "salon software" as the umbrella term.
Salon software, booking system, booking marketplace or POS: what is the difference?
The difference lies in what the system does for you and who owns the client. A booking system fills your diary with your clients, a marketplace brings in new clients, a POS system takes payments, and salon software combines the diary with the administration. Lookster brings the first three together in one system; the till comes with Lookster Pro.
| Salon software | Online booking system | Booking marketplace | POS system | |
|---|---|---|---|---|
| What it does | Diary, clients, team, reviews, reports | Clients book themselves, confirmation and reminder | Consumers search and book a salon on a platform with many providers | Payments, receipts, end-of-day closing |
| Who owns the client | You; your client base lives in your account | You | With many platforms, partly the platform | Not applicable |
| How you pay | Flat monthly fee, sometimes per staff member | Flat monthly fee or a free basic tier | Often commission on new bookings, plus a subscription | Flat monthly fee plus transaction costs and hardware |
| Who it is for | Any salon that wants an overview, from solo stylist to team | Anyone who wants clients to book online themselves | Salons looking for new clients | Salons that take payment at the desk or sell products |
| With Lookster | Lookster Essentials: diary, client cards, staff panel, reviews and reports | Included: your own booking link, salon page and 24/7 online booking | Included: the Lookster marketplace and the free Lookster client app, with 0% commission | Comes with Lookster Pro, which already runs at a select number of salons and will soon be available to everyone |
The advantage of having it all in one: a client who finds you through the Lookster marketplace lands straight in your own diary and client base, and you pay no commission on them. You need no separate link between a platform and your diary. Read more about that choice in booking marketplace vs your own booking system.
Which features belong to salon software?
The core of salon software is the diary, online booking, reminders and the client card. Then come team, reviews and reports. Each feature below shows how Lookster covers it.
- Diary. Day, team, week and month views, per staff member, synced live between phone, tablet and computer. Lookster also has recurring appointments (the same client every four weeks) with exceptions per date, breaks and rota exceptions.
- Online booking. A booking link or salon page where clients pick a service, a staff member and a time, 24/7. Lookster shows only genuinely free slots, lets guests book without an account and allows several services and add-ons in one booking.
- Confirmations and reminders. A confirmation right after booking and a reminder the day before. This is the feature that cuts no-shows the most. Lookster sends them free by email (24 hours ahead) and push notification, with no SMS costs.
- Client card. Per client the appointment history, notes (colour formula, allergies, preferences), photos of the result and contact details. Lookster adds statistics per client, favourites, a blacklist and a no-show flag, and you can call or message a client straight from the app.
- Team and rota. Own login, diary and permissions per staff member, working hours and breaks, leave and holidays. In Lookster staff request leave in the app and you approve it.
- Reviews and portfolio. An automatic review request after the appointment, only from clients who actually attended, and a salon page with photos of your work that can also be found through Google.
- Reports. Revenue, number of appointments, occupancy, no-shows and returning clients per period and per staff member, with a year-on-year comparison and export to Excel or CSV for your accountant.
- Marketplace and client app. A place where new clients find and book you. Included with Lookster: the Lookster marketplace and the free client app for iOS and Android, with 0% commission.
- Apps. The Lookster Dashboard app for iPhone, iPad, Android and Windows, and the full dashboard in any modern browser.
- Till and payments. Taking payment at the desk, payment links, deposits at booking, invoices, end-of-day closing, stock and gift cards. Lookster Pro adds all of this, with Tap to Pay and iDEAL QR. Pro already runs at a select number of salons and will soon be available to everyone. In the meantime you simply take payment with your own card terminal; Lookster handles the diary, bookings and clients.
Lookster ships features 1 to 9 in its Essentials plan: free for the first 3 months without a credit card, then €19.95 per month excluding VAT including 3 staff members, with unlimited bookings. The full list is on the features page.
Who needs salon software?
Anyone who works by appointment and sees more than a handful of clients a week. The tipping point is where messaging and calling about appointments takes more time than the treatment itself.
- Self-employed stylist or chair renter. You mainly need an online diary, a booking link and reminders, ideally in an app on your phone. With Lookster you are live within a day, and the marketplace brings new clients without commission.
- Small salon with 2 to 5 staff. Now you need a diary, working hours and revenue figures per staff member, and as the owner you want to see who does what. Lookster includes 3 staff members in the base price, and each extra staff member is €5 per month.
- Salon with retail. You take payment with your own card terminal while Lookster runs the diary and the client base. Lookster Pro adds the till, stock control and gift cards.
- Gym, personal trainer, massage practice. Lookster works for anyone who works by appointment. The terms differ, the features do not.

Cloud or installed locally?
Almost all modern salon software runs in the cloud: you log in through a browser or an app, and the provider manages servers, updates and backups. Locally installed software on a computer in the salon still exists among older POS packages. Lookster runs fully in the cloud.
| Cloud (online) | Installed locally | |
|---|---|---|
| Access | Anywhere, on any device, synced live | Only on the salon computer, unless you set something up yourself |
| Updates and backups | By the provider | By you |
| Cost | Monthly subscription | One-off licence plus maintenance, often your own hardware |
| Online booking | Standard | Often needs a separate integration |
| Risk | Depends on your internet connection and on the provider | Depends on your computer and your backup |
For a salon that wants online bookings and works from a phone, cloud is the practical choice. Lookster stores your data in the EU, makes daily backups and works on every device, synced live.
GDPR and privacy: where is your salon's client data stored?
As the salon owner you remain responsible for your clients' personal data, even when your software provider stores it. The GDPR handles that with three things you need to check.
Data processing agreement. Your software provider processes client data on your behalf and is therefore a "processor" under Article 28 GDPR. You need a data processing agreement with them.
Storage in the EU. The GDPR does not forbid storage outside the EU, but Chapter V (from Article 44) sets extra conditions on transfers to countries outside the EU. A provider that stores your data inside the EU spares you that assessment. Lookster stores data in the EU, makes daily backups and uses encrypted connections.
Your clients' rights. Clients may request access, have their data deleted and, under Article 20 GDPR, receive their own data in a commonly used file format. Your software has to make that practical.
On top of that comes the tax retention rule: in the Netherlands the Belastingdienst (tax office) requires you to keep your business records for 7 years. Revenue data from your salon software is part of those records. With Lookster's export to Excel and CSV you hand it straight to your accountant.
How do you choose salon software?

Frequently asked questions
What is the difference between salon software and a booking system?
An online booking system lets clients book an appointment themselves and sends confirmations and reminders. Salon software includes that booking system plus the rest of the salon administration: client cards, team and rota, reviews and reports. Lookster combines both and adds its own marketplace with a client app, so one system handles your diary, your online bookings and new clients, with no commission.
Is salon management software the same as salon software?
Yes. Salon management software, salon management system, salon system and hairdresser software are different names for the same type of product: software a salon uses to manage its diary, clients, staff and revenue. Providers pick the term that fits their audience. Hairdresser software targets hair salons and barbershops but does the same job as software for a nail or beauty salon.
How much does salon software cost on average?
Providers usually charge a flat monthly fee excluding VAT, sometimes per staff member, sometimes for a fixed number. Some add commission on new clients, SMS costs and payment fees on top. Lookster is free for the first 3 months without a credit card and then costs €19.95 per month excluding VAT including 3 staff members, with 0% commission. Our article on salon software cost has the full overview.
Do I need salon software as a self-employed hairdresser?
Yes, as soon as you see more than a handful of clients a week. As a self-employed hairdresser you mainly need an online diary with a booking link, reminders and a client card. Lookster gives you all of that from day one in the app on your phone, and it grows with you when you hire someone: the owner and 2 staff are already included in €19.95 a month.
Where should my salon’s client data be stored under the GDPR?
The GDPR does not prescribe a country, but it sets conditions for transfers outside the EU. A provider that stores your data inside the EU keeps things simple for you. Lookster stores all data in the EU, with daily backups and encrypted connections. Always sign a data processing agreement (Article 28 GDPR) with your software provider, because you remain responsible for your clients’ data.
